Privacy Policy

In order to provide a professional counselling service, Counselling With KH will need to keep records about you and the service provided to you.  These records will be kept in accordance with GDPR (General Data Protection Regulations).

 

THE NEED FOR YOUR PERSONAL INFORMATION

To provide counselling some personal or sensitive information will need to be collected from you includes your name, address, contact details and GP details, is required. This information will be collected before we start to work together.

As part of our therapeutic work, you may also disclose sensitive personal information such as gender, ethnicity, sexuality, relationship status and physical or mental health conditions. This is provided as part of  health treatment (in this case counselling).

Your data may be used to respond to an enquiry you make, contact you regarding session and keep appropriate records.  At your request, it may also be used to write a report for another healthcare professional. 

Your information will be treated confidentiality.  Unless we have your written consent, we do not share your information with any other third party or individuals unless we are obliged to by law for purposes of national security, taxation and criminal investigations or safeguarding.

In case of a data breach we will comply with the regulations set out by the Information commissioner office.

 

SECURE STORAGE OF DATA

To keep our information secure we have the following processes in place:

All electronic documents, emails and messages are held on a phone or computer which has touch ID, face ID or passcode protection.

All hard copy documents will be stored in a locked cabinet.

Data will be kept until therapy has concluded plus two years. After this time they will be destroyed.  

 

ACCESS TO YOUR DATA

You have the right to request a copy of your records. Once this request is received in writing, the request for a copy of the information held about you in an intelligible form will be processed within 30 days.  Please note that any details about third parties will be blanked from records provided.

WITHDRAWAL OF CONSENT

Should you wish to withdraw your consent for data about you or your child being stored or to limit how your data is used, please put this in writing. You will receive a written response explaining what will happen next. In the event of withdrawal of consent for collecting and storing data, therapy will need to end. 
 

COMPLAINTS

If you have any complaints about how your personal information has been handled, as well as letting me know, you have the right to contact the Information Commissioners Office online https://ico.org.uk/global/contact-us/  or by telephone 0303 123 1113.
